Withdrawal from exams - illness - medical certificate
First of all, we wish you good health and strength so that you can complete all examinations as planned - and don't have to worry about the details below. If things do turn out differently, you can find out what you need to consider here. Please note: only the provisions of the examination regulations under which you are studying are legally binding.
FAQ Exam withdrawal
If you have registered for a module examination, you can withdraw from registration via HSRM COMPASS, the higher education institution's examination portal, up to seven days before the examination date without giving reasons. Withdrawal without giving reasons is only possible for the first attempt. After that, withdrawal is only possible in exceptional cases.
If you are registered for examinations and are prevented from attending for reasons for which you are not responsible, you are obliged to report this immediately and provide qualified proof. If you fail to attend an examination without excuse, it will be graded as insufficient (5.0). This also applies to last attempts.
- Illness BEFORE taking an examination - FIRST TIME
If you are unable to take an examination due to illness and this is the first time you have been absent from this examination, you must immediately submit a qualified medical certificate from your family doctor to the Examinations Office and apply for a follow-up appointment.
It is not sufficient to simply submit a medical certificate (without an application). A medical certificate may not be evaluated without an application. Applications to the Examination Board require your personal, handwritten signature and must be addressed "To the Examination Board, for the attention of the Chairman". Applications by email do not meet the formal requirements and do not meet the deadline.
- Illness BEFORE taking an examination - REPEATED
If you are unable to take an examination for the second time in a row due to illness, an authenticated medical certificate is required, which must also be sent to the Examinations Office immediately. A follow-up date must also be applied for.
- Illness AFTER the start of an examination
Once the examination has started, an excused withdrawal is no longer possible due to constitutional principles of equality, i.e. the examination will be marked. At the start of the examination, you declare that you are in good health to take the examination. Therefore, any health impairments that were already present before the start of the exam or that represent exceptional psychological situations do not constitute grounds for excusal. You have then deliberately exposed yourself to the risk of failure.
Only in extremely strict exceptional cases, if, contrary to expectations, severe health problems suddenly occur during the examination that have not been announced beforehand and which prevent you from taking the examination, is an excused withdrawal from the examination possible. In this case, you must contact the examination invigilator immediately and claim withdrawal. The invigilator will record the withdrawal in the minutes. A doctor or medical officer must be consulted immediately and a medical certificate obtained (see above).
- Missing an examination for other valid reasons
If you are unable to attend an examination for another valid reason (e.g. accident on the way to the higher education institution), you must provide proof of this in the form of an official/official certificate.
All important documents relating to examinations and coursework are available for download in Stud.IP ("WBS - Internal Information" > Files > Examination System).
A medical certificate is qualified if it states the complaints in such a way that a decision can be made as to whether or not the person is unfit for examinations. A simple certificate of incapacity for work is not sufficient. Only a qualified medical certificate makes it possible to answer the legal question of whether there is an inability to take examinations based on the information provided by the doctor.
It is not the doctor's task to answer the legal question of whether the proven health impairment can justify withdrawing from or canceling an examination. Rather, this is ultimately the responsibility of the examination committee or examination system.
Due to your duty to cooperate, you are generally obliged to disclose your complaints in order to determine your inability to take the examination and, if necessary, to release the doctor treating you from his duty of confidentiality. This does not mean that the doctor must disclose the diagnosis as such, but only the physical or psychological effects caused by the illness (see Section 11 (1) sentence 1 of the Hessian Data Protection Act).
From winter semester 2019-20: The Wiesbaden Health Office does not currently issue authenticated medical certificates. Therefore, the regulation in the examination regulations to submit an authenticated medical certificate for the second consecutive absence from an examination due to illness will be suspended from the main examination date in January 2020. You will therefore only need a medical certificate from a family doctor or specialist if you are ill.
You are obliged to ensure that you submit the correct medical certificate yourself!
Please submit medical certificates with the corresponding application for withdrawal due to illness via the deadline mailbox (Bleichstrasse entrance), which is accessible at all times , stating the degree program and student identification number on the envelope, whereby a receipt can be printed out as proof of submission.
The medical certificate can be faxed (also by the doctor) or sent by post to the higher education institution.
If a medical certificate is submitted by a friend or relative, any culpable delay on the part of this person (late submission) is to be attributed to you as if it were your own fault.
The medical certificate / application is checked and recognized in accordance with the examination regulations applicable to you by the Examination Department or the Examination Board, which will decide whether the reasons presented are sufficient as an excuse.
If the application and reasons are recognized, you will be automatically deregistered from the examination in Compass. You must re-register for the examination on your first attempt. For second and third attempts, you must register for the next examination date.
If your application is rejected, you will receive a negative notification, against which you can submit a reasoned appeal (informally to the Examination Board or the President of the higher education institution, stating your contact details and degree program and with your own signature).
If your excuse is not accepted, the examination will be graded as "insufficient (5.0)". This also applies to last attempts.
